To guarantee a place on a course full payment should be made at least 21 days prior to the start of the course. See our booking form and payment methods.
On receipt of the booking form and payment we will send you a confirmation of the booking and reserve a place for you on the course.
All fees are in GBP. Fees include all tuition, level tests (EFL), use of all Academy facilities and resources and course materials. Examination fees are not included.
Cancellation prior to the start of the course
Courses cancelled more than 21 days prior to the start of the course will receive a full refund minus a small administration charge of £20.
Courses cancelled between 21 and 14 days prior to the start of the course will be charged 25% of the course fee.
Courses cancelled between 14 and 7 days prior to the start of the course will be charged 50% of the course fee.
Courses cancelled 7 days or fewer prior to the start of the course will receive no refund.
Homestay accommodation cancelled more than 7 days before arrival will not be charged.
Homestay accommodation cancelled fewer than 7 days before arrival will be charged one week’s fees. Students leaving their accommodation early must give at least two weeks’ notice. Any additional fees paid for after the two-week notice period will be refunded.
Payment and cancellation of one-to-one classes: Payment is required at least one working day prior to the lesson. Students must inform the Academy at least one working day in advance if they wish to cancel a lesson.
Cancellations must be received by us in writing- by post or email within these timescales.
Nottingham Language Academy reserves the right to cancel a course if there are insufficient students registered. In this case an alternative course will be offered or a full refund given.
Courses cancelled after a letter in support of a visa application has been provided by Nottingham Language Academy will receive no refund unless a visa refusal letter is provided. An administration fee of £100 will be charged in this case. Notification of a visa refusal must be sent to us in writing at least 7 days before the agreed course start date. If this is not received by us we reserve the right to charge a minimum of 4 weeks course fees.
Authorised Absence (EFL only)
Students who wish to take a break from their studies (for example to go on holiday) must give at least 7 days’ notice in order to not lose the payment. An Authorised Absence form must be submitted to the office. The payment will then be carried forward.
Course bookings made by phone or via the internet
For course bookings made by phone or via the internet you have a legal right under the Consumer Contract (Information, Cancellation and Additional Charges) Regulations 2013 to cancel the Contract within 14 days (the "Cancellation Period") without giving any reason. The Cancellation Period will expire 14 days from the date of your application. To cancel you must inform us by a clear statement. You may send your notice of cancellation in writing to Nottingham Language Academy, 8 The Ropewalk, Nottingham NG1 4DT or email@example.com but it is not obligatory for you to use this method. You can use our Cancellation Form which you can obtain from our office. Please ask for our Cancellation of Contract within 14 days of Application form. Please note that a cancellation is only valid when it has been acknowledged by email receipt from Nottingham Language Academy.
We will not start providing the Services to you during the Cancellation Period unless you expressly request us to do so. If you cancel we will refund the fees you have paid within 14 days of the date on which you inform us that you wish to cancel. However, if you have expressly requested that we start providing the Services within the Cancellation Period then we will be entitled to charge you a reasonable sum for the Services based on the proportion of the Course you have undertaken and the overall cost of the Course and we can deduct this sum from any refund payable to you.
You may wish to take out cancellation insurance to cover the cost of your travel and/or fees should you decide you are unable to attend a course once you have booked. We recommend insurance from COURSE-U-CAN.COM Travel Insurance - follow the links below for further details and to arrange a policy.
No refund of fees will be made after the start of the course.
No transfer of fees between students will be allowed. No transfer of fees from group classes to private classes will be allowed.
In case of gross misconduct, we reserve the right to expel any student, having given due notice to the parent/guardian in the case of students under 18. In the event of such expulsion, no refund of fees will be made by Nottingham Language Academy.
Payment for Homestay accommodation is made directly to Nottingham Language Academy. Payment for all other accommodation is made directly to the provider. Terms and Conditions of the accommodation provider will apply.
Summer School courses
A deposit of £200 per person is required at the time of booking. This secures the place and is non-refundable. The balance is payable 8 weeks prior to the start of the course and is non-refundable.
We strongly advise that an insurance policy is taken out to cover reimbursement of course fees, travel, and repatriation should the need to cancel the course arise. Insurance is automatically added to bookings for Summer School for Young Learners.
Students under 18
The minimum age for studying most adult English and Foreign Language courses is 16. Where courses for under 16s are offered this will be made explicit in the course description.
The parent or guardian with responsibility for the student under 18 gives permission for emergency medical treatment to be carried out if necessary. They will also allow the student to travel in and around Nottingham by public transport, to take part in organized excursions and engage in cultural and sporting activities.
Students under 18 on adult courses receive a lower level of supervision outside class times than students on our Young Learners Summer School course.
The parent or guardian will be asked to sign the booking form to accept these Terms and Conditions.
